SharePoint - Mapping a drive / Syncing

One Drive for Business Sync tool: 

  • SharePoint can be used like dropbox, syncing the files to the users PC using the tool.
  • The tool can also be used to sync the files to a server and then the folder can be shared, this is useful if you have some remote users and some in an office, the remote users can access SharePoint using a mapped drive or the website and the users in the office can access them from the server share.

Mapping SharePoint to drive:

This is better when there are a lot of users using the data and you don't want them all to have it downloaded. SharePoint is not designed to work this way however so it does have some niggles.  To map the drive please use the following steps:
  • Check the web client service is set to automatic and is started.
  • Open IE (has to be Internet Explorer) and browse to outlook.office365.com
  • Login as the user making sure you tick the 'keep me signed in' check box.
  • Click on the squares in the top left hand corner and select SharePoint
  • Select the Team Site -> Documents
  • Copy the URL in the address bar
  • Go to the Internet Explorer options and add the URL to the home page tabs
  • Click on the security tab -> trusted sites and click sites
  • On the window that opens click Add and then OK, OK.
  • Back on the documents page click on the Library tab
  • If you cannot see this click on the 'Return to classic SharePoint' in the bottom left hand corner
  • Then click on the settings cog in the top right corner and select 'Show Ribbon' 
  • On the Library tab click open with explorer
  • When this opens copy the address from the address bar and use this to map a drive
You can do the same with the users OneDrive.

If the drive becomes disconnected:
  • Ask the user to open IE, this should open a tab that goes straight to SharePoint
  • Ensure its still signed in, if not sign in and tick the box to stay logged in
  • Then try the mapped drive again as it should now work.
